Definition
The event badge is the physical (or digital via app) identifier that each attendee receives at check-in and wears throughout the event. It contains name, organization, role, authorized zones/tracks and a QR code for subsequent scans.
Details and formula
Two main approaches:
- On-demand printing: badge is printed at the moment of check-in. Pro: zero waste from no-shows. Con: requires dedicated thermal printers and slightly longer check-in times.
- Pre-printing: badges printed before the event, alphabetically sorted. Pro: very fast check-in. Con: 15–30% waste from no-shows, name errors uncorrectable.
Context and typical ranges
Events with >500 attendees typically use on-demand (Zebra ZD420 or equivalent) to avoid waste. Events under 200 with consolidated lists often choose pre-printing for speed.
