Digital check-in

OAK EVENTS check-in module manages attendee accreditation at the entry of corporate events, trade fairs and conferences. It combines QR scanning, on-demand badge printing, walk-in management and real-time attendance data — all via a mobile app that operators use on tablets or smartphones, even offline.

What it does

• Badge QR scanning: 1–2 seconds per attendee. The QR is sent via email/SMS pre-event or printed on-site.
• On-demand badge printing: the badge comes out of the thermal printer at scan time, avoiding waste from no-shows.
• Walk-in: quick on-site form for attendees without pre-registration, with immediate badge printing.
• Offline mode: the app keeps working without connectivity and syncs as soon as network returns — critical for venues with unstable WiFi.
• Multi-station: multiple operators in parallel with real-time sync of the attendance database.
• Attendance dashboard: the organizer sees in real time who has arrived, from which zone, and the no-show rate updated minute by minute.

Supported printers

OAK EVENTS is natively integrated with the most common thermal printers in event management:

• Zebra ZD420, ZD421, ZD620 (B&W and color)
• Brother QL-820NWB, QL-1110NWB
• Generic EPL/ZPL compatible via standard driver

Badge templates are fully customizable: event logo, attendee photo, zone/track colors, QR for exhibitor lead retrieval.

Speed benchmarks

In real operating conditions, on events managed with OAK EVENTS we observe:

• Scan + print: 4–6 seconds per attendee with on-demand printing
• Scan only (pre-distributed badges): 1–2 seconds per attendee
• Walk-in (form + print): 45–90 seconds per attendee
• Maximum throughput: 600–800 check-ins/hour per operational station

Security and privacy

Data hosted in Europe (data center in Italy/EU), GDPR compliant. Full access logging for audit, real-time badge revocation, optional two-factor for high-sensitivity events (product launches under NDA, internal restricted events).

Integration with the rest of the platform

Check-in is not an isolated module: attendance data automatically feeds multi-track agenda management, live Q&A to recognize who is in the room, gamification to assign participation points, and post-event for targeted follow-up.
